IT Organization Admin and Coordinator

The IT Organization Assistant, Coordinator will provide administrative and logistical support to the IT management team and the project managers involved in the initial implementation and future activities for IT.  This dynamic professional will utilize broad and comprehensive administrative and project support experience, skills and knowledge to manage and successfully execute diversified functions with limited supervision and will proactively seek ways to relieve the executives of administrative details.  Additionally, the Assistant and Coordinator will interface with a wide range of important external contacts.

Key Responsibilities:  

  • Maintaining and monitoring project plans, project schedules, work hours, budgets and expenditures.

  • Organizing, attending and participating in stakeholder meetings.

  • Documenting and following up on important actions and decisions from meetings.

  • Preparing necessary presentation materials for meetings.

  • Ensuring project deadlines are met.

  • Determining project changes.

  • Providing administrative support as needed.

  • Undertaking project tasks as required.

  • Ensuring projects adhere to frameworks and all documentation is maintained appropriately for each project.

  • Ensure stakeholder views are managed towards the best solution.

  • Facilitate meetings where appropriate and distribute minutes to all project team members.

  • Creating and maintaining project management calendar for fulfilling each goal and objective.

Skills for Success:  

  • Exceptional organization and prioritization skills and ability coordinate multiple program activities

  • Exceptional verbal, written and presentation skills.

  • Competency in Microsoft applications including Word, Excel, SharePoint and Outlook.

  • Experience in Project management tools like Smartsheets, MS Project etc. preferred

  • Experience in financial tracking, AP related payment processes preferred

  • Ability to work effectively both independently and as part of a team.

  • Knowledge file management, transcription, and other administrative procedures.

  • Ability to work on tight deadlines.

  • Report compilation and writing; Proofreading; Presentation development and editing.

  • Excellent communication and business correspondence; Interpersonal skills.

  • Proven ability to manage multiple projects simultaneously, without close supervision.

  • Diplomatic, friendly and professional

  • Sound decision making and common sense judgement

  • Demonstrated experience dealing with confidential and sensitive information.

  • Web-conferencing coordination

Experience/Education:

  • Years of Related Professional Experience: 3-5

  • Some college preferred

  • Prior experience in IT or Organizational admin role

 

Special Physical and/or Mental Requirements:

  • Occasional irregular hours
